WORK STATION TERMS AND CONDITIONS
provision of office services as part of the operation of a coworking office
I GENERAL RULES
- The User undertakes to comply with the agreement and these regulations, respect property and people, keep peace and quiet and not disturb others.
- The User has the right to use a desk located in the coworking space (dedicated or hot-desk depending on the availability of places).
- Access to the desk in the coworking space is granted only to one User and cannot be shared between different people.
- The User has the right to use a place intended for quiet conversations, subject to availability.
- The User has the right to use an assigned cabinet for documents (with a key) located at the desk.
- The User has the right to use the Internet connection at Work Station.
- The User has the right to use the common kitchen located in the Work Station. The User has free access to coffee, tea and water (filtered) and the right to use a microwave oven, fridge, hob, coffee maker and kettle.
- The User has the right to use the printer and other office equipment (scanner, guillotine, binding machine, shredder, etc.) located in the Work Station (price list for printing and scanning services – at the reception)
- The User has the right to use the co-working space from 6.00-22.00 (User who signed the contract) and during the working hours of the reception (User within a single visit)
- After signing the contract and paying the fee for the first period of use by the User in advance, the Landlord will provide the User with the access card to the co-working space and the keys to the document cabinet (does not apply to the User during a single visit)
- The User acknowledges that each access to the coworking space will require an access card due to the lack of constant presence of reception staff.
- In case of loss of the access card, it is possible to encode a new access card. This operation can take place during the working hours of the reception, i.e. from 8.00 to 16.00. on business days. The cost of a new access card is PLN 100.00 (in words: one hundred zlotys) gross. The User shall immediately notify Work Station of the loss of the personal access card. The user is responsible for all costs and losses resulting from the loss or replacement of the access card or key.
- All keys and access cards provided to the User remain the property of Work Station. Copying additional copies or making them available for use by other people without the consent of Work Station is prohibited.
- All keys and access cards will be returned to the Work Station by the User immediately upon termination of this Agreement.
- Work Station employees have the right to enter co-working spaces at any time, without restrictions in emergency situations, in order to clean, inspect or present the space to other Customers, while observing all procedures for protecting the confidentiality of Users’ activities.
- It is forbidden to disclose access cards, access passwords, keys and codes provided by the Service Provider to third parties.
- Users are obliged to use the workstation, kitchen and sanitary facilities and the conference room, as well as the infrastructure located in them in accordance with their intended use. Unauthorized repairs, adjustments, disassembly and disassembly as well as the use of additional electric heaters or lighting installations of any kind are prohibited. Each time a new User is trained by a Work Station employee in the proper use of devices and installations located in the co-working space or receives a shortened instruction manual for these devices.
- The Users are not authorized to carry out any work on the Real Estate except for office work related to their business.
- Users are obliged to maintain order and cleanliness in their workplace, kitchen and sanitary facilities and the conference room.
- Eating meals, telephone conversations and other activities that may disturb other Users of the co-working space can be carried out only in places intended for this purpose.
- It is forbidden to bring in and consume alcohol and other drugs.
- Users are not authorized to cover and repaint walls or doors, make holes in walls or doors, drive nails into walls or doors or install pins and screws in them. Violation of the above obligation will result in the User having to cover the costs of restoring the given part of the property to its original condition.
- Placing your advertisements, leaflets, etc. is allowed only in the place intended for this purpose and after obtaining the prior consent of the Service Provider.
II. TYPES OF SUBSCRIPTIONS AND PAYMENTS
- The user can choose from the following subscriptions: daily, weekly (and multiple), monthly (and multiple).
- The contract for the provision of office services may be concluded for a definite or indefinite period.
- If the User continues to use the workstation after the end of the contract, he is liable for any losses, claims or liabilities to which the Service Provider may be exposed as a result of the User’s failure to release the subject of the contract on time.
- Under the subscription selected by the User, utilities and daily (on working days) cleaning of the co-working space are paid.
- Fees for additionally paid services (printing, conference room rental) are charged on an ongoing basis. Invoices will be issued within 7 days from the date of payment.
III. RECEPTION WORK
- Reception opening hours: Monday to Friday from 8.00 to 16.00
- Services provided by the reception:
- receiving and distributing correspondence (Poczta Polska, couriers)
- informing tenants (by e-mail and/or by phone) about received correspondence.
IV. USING THE COWORKING OFFICE
- The User uses a separate workstation equipped with a desk, a cabinet and an armchair intended for use for the number of days specified in the subscription or for the entire month.
- Offices may be used only for office purposes or in a manner agreed with Work Station. It is forbidden to use the office for commercial activities related to frequent visits to the office of third parties.
- The User is obliged to take care of the entire Work Station space, equipment, fittings and furniture. It is forbidden to make any modifications to these elements. The User is responsible for any damage caused by the User, his employees or persons staying in the coworking office with the User’s permission or at his invitation.
- It is forbidden to install any furniture or office equipment, cabling, devices, permanent electric lighting installations, gas installations, radio devices and similar devices or telecommunications links without Work Station’s consent. The user, leaving the office/computer equipment at the workplace, does so at his own risk.
- The User has the right to receive Guests without informing the Landlord. Receiving guests can take place in the common areas and the conference room.
- Accepting more guests (over three people) is possible only in the conference room after prior reservation.
- The User is responsible for any damage caused by the User and his Guest.
- The user is obliged to comply with the applicable fire protection instructions for the building and to comply with the provisions on environmental protection, occupational health and safety, general fire and sanitary protection when implementing this agreement.
- The User’s obligations include concluding and maintaining a third party liability insurance contract for the duration of the business activity.
V. USE OF THE CONFERENCE ROOM
- The User, taking into account sec. 3 below can use the conference room for an additional fee. The conference room is available to both Users and third parties. The price list for the use of the conference room is available at the Reception.
- Reservation of the conference room by the User is obligatory and is made at the Reception.
- In the case of a monthly subscription, the User is entitled to 4 free hours of access to the conference room per month.
- Cancellation is free of charge 1 day before the planned date of booking. After this period, the Landlord will charge the person making the reservation for the entire period for which the reservation was made.
- Changing the booking date is possible after prior arrangement with the Service Provider and subject to availability.
- The Service Provider enables the use of devices constituting the equipment of the conference room. The desire to use additional devices must be reported when making a reservation.
- It is unacceptable to transfer the hours due to the User under the subscription to other Users or third parties.
- Exceeding the reserved time of using the conference room is possible only in the absence of other reservations at that time.
- Hours of renting a conference room to which the User is entitled under the subscription are not counted and do not carry over to subsequent billing periods.
- The fee for renting a conference room in accordance with the Price List is made on the day of the service at the latest.
VI. USE OF THE DOCUMENT CABINET
- The Service Provider provides the User with a document cabinet for the period specified in the contract.
- In the event of destruction or damage to the cabinet by the User, the costs of repair or replacement shall be borne by the User.
- In the event of termination of the contract, the User is obliged to empty the area of the desk and cabinet before the contract expires. If the User leaves any property, the Service Provider has the right to dispose of it in any way it chooses without incurring any liability towards the User and without having to transfer any profit from the sale to the User. The cost of replacing the lock is borne by the User.
VII. USE OF THE INTERNET
- The Service Provider provides unlimited wireless Internet access for each User in the area of the co-working space.
- Using the link to download and/or share unlawful materials or overloading the link by downloading large files for entertainment purposes (e.g. movies) is prohibited and may result in immediate discontinuation of services.
- Using the link for illegal purposes is prohibited.
- The Service Provider is not responsible for any possible damage caused by the failure or incorrect operation of the Internet connection.
VIII. RESPONSIBILITY
- The User releases the Service Provider from liability and undertakes to cover any liabilities, claims, damages, losses or expenses that will arise or may arise:
- in the event of death or bodily injury during the stay in the office occupied by the User, unless it was the Service Provider’s fault,
- on the part of third parties, in connection with the User’s office or use of services,
- in the event of non-compliance by the User with the terms of the Agreement.
- The User undertakes to cover all costs (e.g. debt collection) in connection with the enforcement of the Service Provider’s receivables under this Agreement.
- The Service Provider is not liable for any losses resulting from non-performance or improper performance of the service through no fault of the Service Provider, including those caused by a technical failure, strike, termination of powers in the building where the co-working space is located. The Service Provider shall not be liable for any delays, damages, losses or non-performance of the service until receipt of a written notification from the User and a reasonable period of time to rectify the situation.
- The User releases the Service Provider from any liability for damages arising in connection with handling the User’s correspondence.
- The User agrees that, regardless of the circumstances, the Service Provider will not be liable for lost profits and indirect damages.
IX. PROCESSING OF PERSONAL DATA

- ADO processes the User’s personal data in order to perform the rental agreement, fulfill the legal obligation, which is, for example, the fiscal obligation, pursuing claims, for the purposes of video monitoring and other forms of monitoring in the form of access cards to rooms and for marketing purposes.
- Potential recipients of the User’s personal data are the following entities:
- buyers of receivables
- authorized under applicable law (courts and other state authorities, tax offices, banks)
- economic information office,
- companies providing maintenance and construction services
- providing correspondence and parcel delivery services
- providing IT services and new technologies
- providing marketing, communication and analytical services
- providing payment services
- providing accounting and financial services
- providing audit and control services
- providing legal, notary and debt collection services
- Personal data will not be transferred to third countries.
- The Lessee has the right to access data, transfer, rectify, delete and express objections.
- The User’s personal data will be processed for the period in accordance with the Accounting Act, until the claims expire or the business relationship ends.
- Providing personal data by the User is voluntary but necessary to sign and perform the contract.
- The user has the right to lodge a complaint with the supervisory authority when you consider that the processing of personal data concerning him violates the provisions. - The User’s personal data will not be processed in an automated manner and in the form of profiling.
X. FINAL PROVISIONS
- The Service Provider is obliged to inform the User about any changes to the Regulations 7 days in advance.
- The User declares that in connection with the monitoring of the co-working space, his personal data that can be collected by means of monitoring, such as image, appearance or voice recorded in the monitoring records, will be stored and processed for about 14 days in order to ensure safety of items stored in the co-working space and to detect and prevent crimes and offenses and to identify persons responsible for non-compliance with the provisions of the Agreement and the Regulations.
- Appendices to the Regulations may be changed at any time without changing the Regulations.
- The Regulations are available on the website www.workstation.com.pl and at the Reception Desk.
- In case of disputes between the Parties, which may arise in connection with the interpretation of this Term and Conditions, the Polish version will prevail.
